Furnishing one room is a question of which desk. Furnishing several thousand square metres is a question of everything else: a site that is not ready for delivery, a goods lift that does not run at weekends, and a consignment packed in the order convenient for the warehouse rather than for the installers.
The schedule depends on site readiness, not on the furniture
Furniture is not delivered to a site where walls are still being painted: there is nowhere to store it, it obstructs other trades and it gets damaged. The real schedule is therefore tied to the date the premises are ready, not to the date of order.
In practice: if finishing slips by a week, furnishing slips too — even if everything is manufactured and sitting in the warehouse. This is worth agreeing at the start, not when the truck is already at the door.
Delivery sequencing is work in itself
On a large site nothing is delivered «all at once». It goes floor by floor or block by block: first what takes longest to install and obstructs other work, then the rest. The right sequence saves days; the wrong one turns the office into a warehouse.
- Who unloads, and whether those people are available at that hour.
- The lift: goods or passenger, cabin dimensions, weekend operation.
- Temporary storage on site — without it the consignment has to be split.
- Access windows: whether the building is occupied during installation and when noise is allowed.
These four points affect the completion date more than the manufacturing lead time does.
Counting the scope without recounting it twice
The most reliable input is a floor plan with layout. Without one, a simpler approach works: number of workstations, the type of each area (open plan, private offices, meeting rooms, reception, waiting area) and any specific requirements — safes, document storage, filing.
⚠️ The usual gap in an estimate is everything that is not a desk or a chair: cabinets, pedestals, shelving, coat storage, bins, boards, partitions. On a large site this is a visible share of the budget, and it tends to surface at the end, when the money is already allocated.
Acceptance per line item, not «in general»
A consignment of hundreds of units cannot be checked by eye. Acceptance should follow the specification: quantity, completeness, packaging condition, fittings present. Damage recorded at acceptance is replaced under warranty; damage noticed a month later becomes a discussion.
For institutional buyers this is also reporting protection: a signed acceptance record per line item is a document that stands up to audit.
What to include in the request
- Area and type of premises; a layout plan if available.
- Number of workstations and zones (offices, meeting rooms, reception).
- The date the premises will be ready — and whether it is firm.
- Delivery conditions: lift, floor, access windows, storage space.
- Whether installation and packaging removal are required.
- Documentation requirements: specification, acceptance records, warranty terms.
